1. Who We Are
DoZubaan is an Australian educational website providing free Punjabi language learning resources. This Privacy Policy explains how we collect, use, store, and protect your personal information when you use our website at https://dozubaan.com. We are committed to handling your personal information in accordance with the Australian Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs).
If you have any questions about this policy, please contact us at contact@dozubaan.com.
2. Information We Collect
2.1 Contact Form
When you submit our contact form, we collect your name, email address, the subject you selected, the message you wrote, and your IP address (for security and spam prevention purposes). We use this information solely to respond to your enquiry.
2.2 Newsletter Subscription
When you subscribe to our newsletter, we collect your email address and (optionally) your name. We also record the date and time of subscription, the IP address used to subscribe, and the date your email was verified. We use this information to send you DoZubaan newsletter emails and to maintain our subscriber list.
2.3 Automatically Collected Information
Like most websites, our server may automatically log certain information when you visit, including your IP address, browser type and version, the pages you visit, time and date of visit, and referring URL. This information is used for security purposes and to understand how the site is used. We may use privacy-respecting analytics tools that aggregate this data without identifying individual users.
2.4 Cookies
DoZubaan uses a session cookie to maintain your browsing session and to enable security features like our CSRF protection on forms. This cookie is temporary and expires when you close your browser. We do not use tracking cookies, advertising cookies, or third-party behavioural tracking cookies. If you use our website with third-party services embedded (such as Google Fonts), those services may set their own cookies subject to their own privacy policies.
3. How We Use Your Information
| Data | How we use it | Legal basis |
|---|---|---|
| Contact form submissions | To respond to your enquiry | Your consent (submitting the form) |
| Newsletter email | To send you DoZubaan newsletter emails | Your explicit consent (double opt-in) |
| IP addresses | Security, fraud prevention, spam filtering | Legitimate interest |
| Server logs | Technical operation, debugging, security | Legitimate interest |
We do not use your information for automated decision-making or profiling. We do not sell your personal information to third parties. We do not share your personal information with advertisers or marketing companies.
4. Newsletter — Double Opt-In and Consent
DoZubaan uses a confirmed opt-in (double opt-in) process for newsletter subscriptions. When you subscribe, we send a verification email to your address. Your subscription is only activated when you click the confirmation link in that email. This means:
- We only email people who have actively confirmed they want to receive our emails
- Your email cannot be added to our list by a third party without your confirmation
- We keep a record of when and how consent was given
You can unsubscribe from our newsletter at any time by clicking the "Unsubscribe" link in any email we send you. Upon unsubscribing, we update your record to "unsubscribed" status — we do not immediately delete your email, as retaining it allows us to honour your unsubscribe request if someone attempts to re-subscribe your address in future.
5. Data Storage and Security
Your information is stored in a database hosted on our web hosting provider's servers in Australia. We implement reasonable technical and organisational measures to protect your personal information from unauthorised access, loss, misuse, or alteration. These measures include:
- Password protection and access controls on our database and hosting systems
- CSRF (Cross-Site Request Forgery) protection on all forms
- HTTPS encryption for all data transmitted between your browser and our server
- Restricted access to personal data — only authorised administrators can access subscriber and contact data
No method of internet transmission or electronic storage is 100% secure. While we strive to protect your personal information, we cannot guarantee absolute security.
6. Data Retention
We retain contact form submissions for up to 24 months, after which they are deleted. We retain newsletter subscriber records while your subscription is active and for up to 12 months after unsubscription (to honour your unsubscribe request). You may request earlier deletion by contacting us.
7. Third-Party Services
DoZubaan uses the following third-party services that may process limited data:
- Google Fonts — we load fonts from Google's CDN, which may log your IP address. See Google's privacy policy at policies.google.com.
- Web hosting provider — our hosting provider processes server log data as part of normal hosting operations.
- PHP mail() — outgoing emails are sent via our hosting provider's mail server.
We do not use Facebook Pixel, Google Analytics with tracking cookies, or any other behavioural advertising tools.
8. Your Rights
Under the Australian Privacy Act 1988, you have the right to:
- Access — request a copy of the personal information we hold about you
- Correction — request correction of inaccurate or incomplete information
- Deletion — request deletion of your personal information, subject to our legal obligations
- Withdrawal of consent — unsubscribe from the newsletter or withdraw consent for communications at any time
- Complaint — if you believe we have mishandled your personal information, you may complain to the Office of the Australian Information Commissioner (OAIC) at oaic.gov.au
To exercise any of these rights, please contact us. We will respond to your request within 30 days.
9. Children's Privacy
DoZubaan is designed to be family-friendly and suitable for use by children as a language learning resource. However, our newsletter and contact forms are intended for people aged 13 and over. We do not knowingly collect personal information from children under 13. If you are a parent or guardian and believe your child has provided us with personal information, please contact us so we can delete it.
10. Changes to This Privacy Policy
We may update this Privacy Policy from time to time. The "last updated" date at the top of this page will reflect any changes. We encourage you to review this page periodically. Your continued use of DoZubaan after changes are posted constitutes acceptance of the updated policy.
